What it does

Inbox Zero is an open-source AI email assistant for Gmail and Outlook from Inbox Zero Inc. It works in the background of your existing mailbox: it labels incoming mail, archives noisy categories, and leaves a drafted reply for each email that needs an answer. You control it with rules written in plain English. It also offers bulk unsubscribe, a cold-email blocker, analytics and calendar-aware drafts, can be used from Slack or Telegram, and comes with a separate free email app. The hosted AI plans are paid with a 7-day trial; the code can also be self-hosted.

Features

  • Automatic sorting and labels. Incoming mail is sorted into categories such as To Reply, Newsletter, Marketing, Calendar, Notification and Cold Email. You can use the default categories or create your own; noisy ones are archived. Official source 1 ↗ · Official source 2 ↗
  • Pre-drafted replies in your voice. Emails needing a response get a draft in your Drafts folder; drafts are not sent automatically. You set writing style, personal instructions and a knowledge base, and choose how confident the assistant must be before drafting. Official source 1 ↗
  • Plain-English automation rules. Describe how mail should be handled and Inbox Zero generates rules with AI or static conditions and actions such as label, archive, forward, draft or send replies, add to digest, call a webhook or notify Slack. Rules can be tested on sample messages and corrected from their history. Official source 1 ↗
  • Bulk unsubscribe and bulk archive. Shows senders you never read so you can unsubscribe, archive or delete them in bulk, and archives older mail by sender category. Official source 1 ↗ · Official source 2 ↗
  • Cold email blocker and inbox analytics. AI filters block cold emails, and analytics show who emails you most, inbox volume, response time and automation activity. Official source 1 ↗ · Official source 2 ↗
  • Calendar-aware drafts and meeting briefs. Connect a calendar to draft scheduling replies from real availability, share booking links, and get AI briefings before meetings with external contacts. Official source 1 ↗
  • Assistant in Slack and Telegram. Chat with the assistant by DM, mention or slash commands to search mail, draft messages and update rules, and receive rule notifications, drafts for review, meeting briefs and digests in Slack. Official source 1 ↗
  • Auto-file attachments. Saves email attachments automatically to Google Drive or OneDrive (Plus plan and above). Official source 1 ↗ · Official source 2 ↗
  • Free email app. A separate email client for Gmail and Outlook with a split inbox, all accounts in one place and team comments, free on web, desktop and iPhone. Official source 1 ↗ · Official source 2 ↗
  • Sensitive-data controls. A setting can redact or block detected credentials and card numbers before content is sent to an AI provider. Official source 1 ↗

Billing details

The 7-day trial of the AI plans requires a credit card; you are charged when the trial ends unless you cancel during it. Official source 1 ↗

Card payments go through Stripe. Plan changes take effect immediately with prorated billing; after cancelling, the subscription stays active to the end of the period. Refunds are offered on request within 14 days of upgrading. Official source 1 ↗

Discounted plans are available by email for students, nonprofits and open-source projects. Official source 1 ↗

Bring your own AI key: hosted plans include AI usage by default, but you can set your own key for Anthropic, OpenAI, Azure OpenAI, Google, Groq, Cerebras, OpenRouter or Vercel AI Gateway, which that provider then bills. Official source 1 ↗

Self-hosting: the AI assistant, web app and desktop app are open source and can be run on your own server with a setup CLI; you configure your own Google or Microsoft OAuth and AI provider. Official source 1 ↗ · Official source 2 ↗

Free access & limits

The free tier is the email app; the hosted AI assistant is available only on paid plans after a 7-day trial. Official source 1 ↗

The mobile apps are free to download, but paid web features keep the same plan requirement on mobile. Official source 1 ↗

Best for & limitations

Clearing a years-old backlog: unsubscribe from noisy senders and bulk-archive old mail before letting rules handle new email. Official source 1 ↗ · Official source 2 ↗

Keeping Gmail or Outlook as your email client while the assistant files mail and leaves reply drafts to review and send. Official source 1 ↗

Handling email from Slack during the workday: ask for a summary of what needs attention, draft a reply and review it in the thread. Official source 1 ↗

Rolling out shared email rules across a team, with team-wide analytics on the Professional plan. Official source 1 ↗ · Official source 2 ↗

Running the assistant on your own infrastructure for full control of email data. Official source 1 ↗ · Official source 2 ↗

  • Gmail and Outlook only. Only Gmail, Google Workspace and Microsoft Outlook accounts are supported; other email providers are not. Official source 1 ↗
  • AI can mislabel or draft wrongly, and rules act automatically. The docs warn that rules may match unexpected messages and drafts or summaries can be wrong; once enabled, rules run without confirmation, so test them first. Official source 1 ↗
  • Email content is sent to third-party AI providers. Email subject lines, bodies and sender details are processed by third-party AI services; the policy says providers may not train on the data. Official source 1 ↗
  • Key features need the Plus plan. Email digests, Slack integration, app integrations and auto-filed attachments are not included in Starter. Official source 1 ↗ · Official source 2 ↗
  • Mobile apps are not feature-complete. Some administration and advanced settings are only in the web app, the Android app is due for an update, and the iPhone app is not open source yet. Official source 1 ↗ · Official source 2 ↗
  • Self-hosting needs your own OAuth and AI setup. Self-hosting requires Docker and Node.js v24+, plus your own Google or Microsoft OAuth credentials and AI provider configuration. Official source 1 ↗
